Getting your data out, whenever you want it
How to download the whole workspace as one file, what is inside it, and why it works even after a plan lapses.
Your data is yours. Any day you like, without asking anybody, you can take all of it.
How to download it
Go to the billing screen in your workspace and press the export button. You get a zip file with a folder of spreadsheets inside it, one per thing, named so you can tell what is what.
What is in there: every sale and every line on it, customers and what they owe, products and stock, purchases and suppliers, expenses, day closings, and the staff activity log.
They are ordinary spreadsheets, not some format of ours. They open in Excel, they open in Google Sheets, and they open in whatever your accountant uses.
Even after the plan lapses
Yes, it still works then. That is deliberate. A shop that has stopped paying being unable to get its own figures out would turn "your data stays yours" into a sentence rather than a promise.
When to do it
- Once a month. Your own backup. Keep the file on your phone or your computer.
- At the year end. Your accountant or your tax filing wants the whole year in one place.
- Before anything big. Changing application, splitting a branch, changing staff — take one first. You almost certainly will not need it, which is exactly why it should be there.
Where to keep it
Put it somewhere that is not the shop computer. Shop machines get lost, broken and stolen, and the backup goes with them. Your phone, your email, any cloud drive — anywhere, as long as it is not in the shop.
This screen works the same way in every application, so this guide is written once for all of them.
Try it before you do it for real
Open a demo workspace already carrying months of trading and follow the steps there. Nothing you do in it touches your own shop.
